Kuali Student Services System (KS)


Functionality


The Kuali Student System functionality has been grouped into 3 tiers of functionality according to development priority.

Tier 1 functionality includes core modules that are critical and fundamental components of a student system.

Tier 2 functionality includes modules that are important for a fully functioning student system, but they have a lower priority for development or they may have large components that can be satisfied by an existing best-of-breed software product.

Tier 3 functionality includes modules that are complementary to the core system.  Future Partners are encouraged to define projects to develop software modules that full within this tier.

Tier 1 Functionality

Curriculum Development
Curricula are made up of learning units.  A learning unit is any learning-related activity that needs to be tracked by the institution or the learner.  Learning units range from very general (a degree program) to very specific (a class assignment).  All credit and non-credit learning activities, whether traditional or non-traditional, are learning units.

The curriculum development application is integrated with the Learning Management Systems (LMS), and consists of 5 Business Processes:

  • Develop or modify a learning unit
  • Review and approve a learning unit
  • Make a learning unit available to learners
  • Assess a learning unit
  • Reports

Customer Contact
The Customer Contact Application maintains the information about persons, groups and organizations that is used throughout Kuali Student.

Enrollment
The Enrollment Application enables learners to create learning plans, record (or declare) their learning intentions, and register in learning activities such as programs, joint programs, specializations and courses.   It supports program and course selection, registration, class lists and grades. It supports the management of wait lists or other means of measuring demand for learning units and allocating places when demand exceeds supply.

Degree Audit and Academic Evaluation Application
The Degree Audit Application includes a database of requirements for all programs offered by the institution, including prior versions of these programs.  It provides various on line reports on academic progress.  Academic progress includes progress towards the completion of some kind of program, and progress in the sense of meeting academic expectations.  Students who are not meeting expectations may be considered at risk.  Monitoring of non academic progress is also supported – e.g. Leadership training, internships, etc.

Student Financials
The Student Financials application supports the pricing, sale and purchase of both internal and external products (e.g. courses and programs) and services (e.g. athletics and library fees).  It also provides access to financial planning tools for learners.

Tier 2 Functionality

Admissions Application
The Admissions Application matches prospective learners (called prospects or applicants) with learning activities (such as programs or courses) that an institution offers.  The various processes (apply, acknowledge, evaluate and select) can be connected with workflow.

Scheduling
The Scheduling Application schedules the various resources required to deliver the curriculum.  This includes courses, exams and distance education courses.

Awards and Financial Aid
The Awards application includes all the processes to manage internal awards, bursaries/financial aid and loans.  It can support all applicable legislative and government requirements and regulations (this application will initially be configured to support federal and other regulations for Canada and the United States).  It also tracks external loans on behalf of other awarding agencies.  Financial planning is supported in the Student Financials application.

Concierge Application
Kuali Student goes beyond enabling the execution of business processes at the request of various users.  As a third generation information system, Kuali Student helps users identify, evaluate, select and achieve appropriate learning goals.  The concierge application helps all users achieve their desired results more quickly and efficiently without them having to know the rules. 

The concierge concept is implemented in 3 ways.  The first two – Concierge Design Principles and Service Operating Modes – are included in Tier 1 scope.  The third – Concierge Functionality – is included in Tier 2 scope.

Tier 3  - Future Partner Functionality

These business functions are notpart of the scope of the Core Program.  This does not mean that these business functions are not considered to be part of the Kuali Student Service System, but rather that they will not be delivered as part of the 5 year program being sponsored by the founding institutions.  These functions could possibly be implemented by Partner institutions. Example functions:

Connectors to other Systems

The following business functions are considered to be out of scope of a Student Services System.  These are major systems requirements that institutions are expected to satisfy via another product or solution.  However, application connectors to these systems will be in scope for Kuali Student.
